House Rules (Terms & Conditions)

Mountain Villa is operated by Susthira Eco Ventures LLP at Vagamon. We are not a full -serviced resort but a “home away from home” and hence guests should not expect the service that is of a fully serviced resort or hotel. Right of admission to this property is reserved. To ensure a pleasant stay for all our guests and to maintain good relationships with our neighbours, Mountain Villa enforces the following terms & conditions very strictly.

Guests may make a request to book by providing their preference of dates and the choice of cottage. The mountain villa team will be calling you and validating the booking and thereafter the payment link will be provided for making the payment for confirming the reservation. This is a family-oriented property mostly patronized by family groups, we will be unable to simultaneously host bachelor groups and hence may have to refuse bachelor bookings. Hope to have your understanding.

1. That the Guest explicitly agrees to use all facilities and amenities in and around the Property entirely at the Guest’s own initiative, risk and responsibility.
That the Guest hereby Indemnifies as well as waives and releases any claims against Mountain Villa and their successors, assigns, employees or representatives, officially or otherwise, for any Loss, Injuries or Death that may be sustained by Guest and / or his / her party on or near or adjacent to the Property, including any common facilities, activities or amenities for whatsoever reason/s.

2. That the number of persons accompanying the Guest, including his/ her visitors shall NOT exceed the number stated on the Booking Voucher under the heading "Total Pax".
Children and infants must be under active supervision by a parent or guardian, at all times. All responsibility and duty of care for them must be provided by you, including their personal equipment and needs.

3. No EXTRA ADULT or children, as overnight visitors are permitted without prior information.
NO parties or events, no illegal activity or inappropriate anti-social behaviour.

4. GUESTS WILL BE ASKED TO VACATE THE PROPERTY IMMEDIATELY: - If guests are suspected of carrying and/or using illegal drugs of any kind, the authorities will be engaged for your removal.

5. Pets are very welcome but always keep an eye on them because the property is vast and they can get lost. We will also be charging an additional fee of Rs.1000/- towards deep cleaning required after pet stay. Please refer the Pet policy for more details.

6. Please treat the caretakers with respect & be patient when they give an overview of the property. They are fluent in Malayalam and can understand English, Tamil and a little Hindi.

7. This property is completely self-sustaining with no help from the outside power grid and is powered by solar energy. Water is sourced from the mountain spring, filtered and used. So, please be aware & utilize these resources in moderation.

8. We try to maintain the property as a “Plastic Free” zone. Please cooperate. Please dispose of your waste in the dustbins provided and don't litter the premises

9. Please let us know immediately if something is malfunctioning so it can be rectified. However, all damages or missing items will need to be paid for by you before departure.

10. Treat the Natural environment and surroundings with utmost respect because you are a guest at her home and not the other way around.

11. Please do not harm the animals/ living things or inflict damage on the biodiversity and refrain from making loud noises or playing music at a high volume. Although acoustic music is welcome anytime and anywhere in our property, we promote all such art forms.

12. Do not smoke inside all the cottages to prevent fire hazard, utilize the outdoor areas for such and ensure the cigarette is properly disposed of. Any small spark will ignite forest fire during the summer months.

13. The entrance and the common areas are under CCTV surveillance for your own safety and security.

14. Lastly, because this is a homestay not a hotel, and is also our home when we stay in Vagamon, please be respectful of the property and keep it clean before you leave. Dining Guidelines

At Mountain Villa, our dining experience is intentionally curated to evoke the warmth and authenticity of a local home rather than a conventional hotel or resort. As such, we offer exclusive in-house dining for our guests only, with no room service. Our daily offerings are dictated by seasonal produce from our sustainable farms, aligning with our commitment to responsible consumption, one of our guiding principles that aligns with the United Nations Sustainable Development Goals.

We kindly request guests to inform us of any dietary restrictions or preferences in advance, to ensure a personalized culinary experience. Outside food and self-cooking are not permitted on the property, emphasizing our commitment to sustainability and responsible waste management.

Meals are served at designated timings: Breakfast from 8:30 AM to 10:00 AM, Lunch from 1:00 PM to 2:30 PM, and Dinner from 7:30 PM to 9:30 PM. Evening tea is available between 4:00 PM and 5:00 PM. Please note that advance booking and a minimum of 4 hours' notice are required for lunch and dinner. We are proud to cook with coconut oil, aligning with our focus on health and well-being.

Sample Menu: - Breakfast: A blend of Continental and South Indian options- Lunch: Traditional Kerala rice with a mix of veg and non-veg dishes, followed by dessert, or the option of Kerala biriyani or basic chinese dishes. - Afternoon Tea/Coffee: Served with a local Kerala snack- Dinner: An array of Indian dishes featuring both veg and non-veg options, capped off with fresh fruits. We invite you to dine with us and experience the local Flavors through our responsibly sourced and thoughtfully prepared meals.

Payment Terms & Cancellation Policy

Booking confirmation:

1. 100% to be paid in advance for confirming the booking.

2. All bookings will be made through our website and OTA platforms like Airbnb, Booking.com and MakeMyTrip

Cancellation Policy: Since we are a small homestay in a remote location with only three cottages, last minute cancellations can cause severe financial strain due to the fixed overheads and hence request your understanding.

1. 100% refund if cancelled before 7 full days of check-in date.

2. 50% refund if cancelled 5 days before check-in

3. No refund if cancelled less than 4 days of check-in date.

4. However in extraordinary situations like health issues, the stay may be postponed (not refundable) till a maximum of 3 months and not more than one changes will be entertained due to our resource and location constraints.

5. All refunds will attract a 10% cancellation charges and will take 7 days for processing.

Child Policy:

1. Children of all ages are welcome.

2. Children, aged 7 and below stay free of charge (up to a maximum of 1 children); however, will be charged INR 750/- per night on use of an extra bed.

3. Any child aged 8 years and above will be treated as an adult with charges as applicable.

4. Any additional guest, adult/child above 8 years, will be charged Rs 750/- per night, inclusive of breakfast.

5. Please note that we don't have a provision for an extra bed in Planters cottage and Planters Annex

Check in & Check out:

1. Our Check-in time is between 1:30 pm - 4:00 pm and the Check-out time is between 11:30 am - 12:30 am. Since we operate in remote location with limited resources, it will be difficult to entertain early check-in requests. Hope to have your understanding.

2. Submission of Online Guest registration and Self Health Declaration Form before check-in is mandatory.

3. Guests are required to show photo identification upon check-in and fill in the guest register

Pet Policy:

Going on a holiday, and leaving our pets behind is never easy. At Mountain Villa, we understand how you feel, which is why we are pet friendly.

Not more than 1 pet will be allowed per room at any time.
The pet owner will be charged a non–refundable fee of Rs. 1000 per stay towards room cleaning. Additionally, the pet owner shall be charged for any other damages or excessive cleaning that may arise due to the pet, as the case may be.
The pet needs to be house-trained, groomed, healthy, and free from ticks and fleas.
The pet should be leashed, or in a carrier at all times when outside the room and shall never be left unattended at any time. The pet owner shall be responsible for the disposal of any litter or waste associated with their pet on the premises
The guest bed, linen and other room furniture are meant only for guest use, and not for the pet. Guests are requested to carry pet bedding
The pet owner shall take full responsibility and incur liability for any and all injuries inflicted by the pet, upon any person, be it an employee, other guests, a third party, or any other pet in the property
Mountain Villa shall not be liable for any injury suffered by the pet while on the premises.
Neither the property nor the employees will be responsible for the care of the pet.
We have a friendly local Indie dog Sugu staying at the property and our Bella makes frequent visit along with us.
